Position will perform Secretary duties 50% of the time and Representative Payee duties 50% of the time.

Position Summary:
Responsible for providing general office support to department Director and department staff for 50% of the time. Responsible for working in collaboration with the most vulnerable members of the Puyallup Tribe to provide assistance to manage monthly payments on behalf of the Tribal Member beneficiary.  The Representative Payee is responsible for meeting with and knowing the needs of the beneficiary, and acting in the best interests of the beneficiary to ensure that benefits received from the Tribe are used for the beneficiary’s current and/or future needs for 50% of the time.
Essential Duties and Responsibilities

       Secretary/Receptionist/File Clerk:

  1. Answers phones, takes messages for office staff, greets visitors, answers questions and directs visitors as needed.

  2. Responsible for ordering office supplies, logging receipt of supplies and distributing them within the department as needed.

  3. Timely and accurately maintains organized filing for department to include files, documents, correspondence, and other materials.

  4. Accurately and timely maintains files for custody and other court cases.

  5. Makes copies, faxes answers e-mails.  Routes documents as necessary.

  6. Has primary responsibility within the department for incoming and outgoing mail.  Keeps accurate log of mail coming into and leaving the department.  Responsible for filling out and sending certified mailings as necessary.

  7. Orders stamps and conducts wire transfer on the stamp machine.  Ensures that the department always has the necessary amount of postage available when needed.

  8. Performs income verification letter for Tribal Members as needed and/or requested.

  9. Inputs addresses and social security numbers accurately and timely in Ceridian PT1 and PT3.

  10. Responsible for typing correspondence or other documents as assigned by supervisor.

    Representative Payee

  1. Must be thoroughly knowledgeable with, and follow the Representative Payment Program as described in the Tribal Code.  Must use any payments received on behalf of the beneficiary for his/her current needs and save the remainder for the beneficiary’s future use.

  2. Responsible for setting up and maintaining separate bank accounts for each beneficiary in the beneficiary’s name.  The Representative Payee has a fiduciary responsibility for the funds and stands as an appointed representative payee by the Representative Payee Program.

  3. Assist the beneficiary to find other services he or she needs, including filling out applications, seeking medical care when necessary, or finding caregivers or caseworkers as needed.  Also recommends an alternative person or agency if the Representative Payee can no longer serve the beneficiary.

  4. Responsible for giving copies of receipts to the beneficiary on monthly expenses paid by the Representative Payee on behalf of the beneficiary.

  5. Must keep an accounting record showing expenditures, including receipts, on a quarterly basis with the Representative Payee Program.

  6. Must be able to perform duties of Payment Clerk in order to provide back-up to that position on an as-needed basis.

  7. Responsible for the Daily Bank runs for all Payee’s.

  8. Must maintain confidentiality at all times.

  9. Other duties as necessary or assigned.


supervisory Responsibilities

This position has no supervisory responsibilities.


Qualifications and Requirements

Education and/or Experience

High School Diploma or G.E.D and two years of general office clerical experience including previous filing experience is required.  Must be able to type at least 45 WPM.  Beginner knowledge of word processing and database programs is required (Word, Excel and Access) in addition to accurate production of materials and documents using the computer. 

Note: Part-time work is prorated in crediting experience (e.g., if you work 20 hours per week for a 12-month period you will be credited with 6 months of experience).


Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence. 

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Other Skills and Qualifications

Must be flexible, a team player, and able to deal with stressful situations.  Must be willing to cross-train with other department staff positions in order to provide team support and no interruption of services to the community.

Must be friendly, courteous and tactful.

Must be dependable and have an ability to keep track of various tasks

Must be able to attend trainings as required by supervisor.

Must be a Puyallup Tribal Member.

Must be able to successfully pass a background check prior to hire, and periodically throughout employment thereafter.

Must have and maintain a valid driver’s license and proof of automobile insurance.
