Position Summary:

This position oversees the day to day operations and will establish policies and procedures for the Puyallup Tribal Administration Travel Department.  This position will transition the Travel Department into a travel agency.  This position will have oversight of travel department and staff which facilitates travel arrangements and closing of travel for Tribal Administration employees, all Puyallup Tribal Boards, Commissions and Committee’s. This position works closely with outside agencies on a daily basis. The position also requires that employee be available after normal business hours to accommodate employees on travel status.

 

Essential Duties and Responsibilities:
  1. Establish and implements Travel Policies & Procedures and ensures that all administration staff are kept informed and adhere to the policies.

  2. Meets with Directors regularly to discuss procedures relating to the travel process; answers questions and becomes familiar with the needs and special requirements that some departments may have relating to business travel.

  3. Provides oversight for all travel arrangements made for Tribal Administration employees, Boards, Commissions, and Committee’s. Assists Council offices with Tribal Council travel arrangements. Ensures that all travel arrangements are completed in a timely manner including airfare, hotel, meals, mileage, rental cars, parking, etc.  Provides guidance for complex and/or large travel needs.

  4. Negotiates with hotels, airlines, travel agencies and other vendors to ensure that the tribe receives cost effective rates. Responsible for researching and report on potential of a travel agency to ticket airfare for the Puyallup Tribe’s Administration; provides cost analysis for reports to management.

  5. Works closely with the Controller to establish, administer, and monitor appropriate accounting standards, including appropriate use of credit cards, for the Travel Department.

  6. Works closely with the Accounting Department to monitor monthly travel employee’s reconciliations.

  7. Works closely with Accounting Department to monitor monthly travel credit card expenses.

  8. Responsible for ensuring that the Travel Department is meeting the travel needs of the Puyallup Tribal Administration. Responsible for initiating and maintaining contact with outside vendors to establish long term, positive business relationships.

  9. Responsible for addressing any complaints and resolving problems in a swift and calm manner.

  10. Ensures the Travel Coordinator(s) work closely with staff to reconcile travel expenses.  If difficulty ensues, responsible for working with the employee’s Director and ensuring a constructive completion of the travel reconciliation required.  

  11. May provide backup as needed to the Travel Coordinators. May assist with after hour emergencies on an as needed basis.

This position directly supervises employees and provides day-to-day supervisory oversight.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience

High school diploma or general education degree (GED); five years office management experience; five years accounting and budgeting experience; three year supervisory experience and in writing policies and procedures; or equivalent combination of education and experience. Intermediate knowledge of word processing and spreadsheets required.

 

Language Skills

Employee must demonstrate the ability to interact tactfully and positively with all levels of staff and management. Ability to read, analyze and interpret travel arrangements. Ability to write reports and business correspondence.  Ability to effectively present information and respond to questions.


Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

 

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

Other Skills and Abilities

Must be detail oriented.

A wide degree of creativity and sound judgment is expected to be demonstrated in the performance of job duties and decision making.

Must have and maintain a valid and unrestricted Washington State driver’s license. Driver’s license must not contain any restrictions that would prevent the employee from driving a GSA vehicle.
