We are looking for a candidate who is motivated to provide high-level administrative & event support to the Janney Events Department.  Reporting to the Corporate Event & Senior Event Coordinator, an ideal candidate would be detail oriented professional proactive multitasker who enjoys learning and working on a team.


Someone who embraces technology, this position is a front facing role within the company, superior client service skills are essential. 


Responsibilities Include:


  • Collaborate and brainstorm on themes, team-building activities, and entertainment ideas with Event Managers and other departments within the firm on all upcoming meetings and events
  • Continually refining best practices/standards, building on them for future event planning and execution
  • Assist with location sourcing preparation and RFP creation
  • Assist in creating Program Timelines, working Budget, Resume of Events
  • Website creation and/or coordination - assist and/or build program websites
  • Assist with document creation – assistance with creation of trip communication and invitations, maintain list of invited guests, registered guests, mailing lists
  • Assist with coordination of on-site events including arranging meal functions, sleeping room bookings, team travel coordination, selection of menu and decor
  • Assist with post-event duties including mailing out attendee gifts, organization of all ship-back items
  • Organization of event closet at corporate headquarters, which entails organizing and keeping track of inventory and what will need to re-order, mailing out items as needed to different clients within the firm
  • Assistance with document preparation:
    • Creating mail merges
    • Labeling and assembling documentation packets for registration & mailings
    • Ordering necessary supplies for documents and onsite needs
    • Packaging & shipment of final document packets
    • Creating Name tags
    • Sourcing and ordering room gifts
    • Creation of marketing pieces for room drops, reminder cards, gift cards


Required Experience:


  • 2-3 years’ experience or internship in corporate event/meeting planning, or experience working as an Executive Administrative Assistant
  • Bachelor’s degree in communication, event planning, or hotel hospitality
  • CMP preferred or candidate working toward attaining the CMP designation

  • Creative thinker with strong attention to detail
  • Professional demeanor including punctuality and clear and excellent communication with all levels of management within the firm
  • A self-starter who has the ability to prioritize and multitask
  • Strong writing and proofreading skills
  • Works harmoniously and effective with others as part of a team
  • Proficient in MS Office Suite: Word, Excel, PowerPoint
  • Flexibility to travel onsite with programs, ability to work some evenings, early mornings and weekends
  • Valid US Passport
  • Ability to lift 30 pounds
