Payroll and Timekeeping Assistant
Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) from American Payroll Association (APA). Equivalent experience will be considered.
ESSENTIAL JOB FUNCTIONS:
Have an interest in the performing the critical function of timekeeping and payroll at an entity that supports two of the largest companies in the world? This position performs all aspects of the timekeeping function by training new users on system use, weekly follow-up on timecard approval with managers, act as a resource to answer questions by employees or managers, and resolve any issues with input and approvals. Weekly processing of Labor transactions into Costpoint. Input all approved Labor Cost Transfers into Unanet on an as received basis. Assist in supplying information to and working with Government auditors or internal customers as needed. Accurately input and update employee information into Deltek Costpoint and ensuring that the information is used in the timekeeping system – including the maintenance of timecard approval processes. Working with temp agencies on assuring setup and input of vendor employees is performed in a timely manner.
Contribute in the processing of bi-weekly payroll, including day-to-day functional support to achieve accurate payroll results. Audit approved timesheet data for inconsistencies/inaccurate entries and reconciling to maintain payroll integrity and import file preparation. Help employees, managers and HR with payroll questions, and issues as they arise. Make certain the Company’s compliance standards, policies and procedures are effectively implemented in a consistent manner throughout the organization. Confirm payroll taxes for multiple entities, with special emphasis in California payroll requirements. Establish and maintain records and controls that comply with legal and regulatory requirements, provide internal safeguards, and respond to federal, state, and local audit inquiries. Set up/maintain garnishments and multi-state payroll taxes.
2+ years processing end-to-end payroll experience and in performing a timekeeping function within a matrix organization. Firm understanding of the relationship between timekeeping and payroll functions. Skilled in the ability to audit and ensure accurate completion of payroll, including files and reports, W2’s, W2C, ACA, 1095C and preparing and submitting the monthly union invoice. Working knowledge of current federal and multi-state laws, regulations and local withholdings as applies to payroll and the relationship with proper timekeeping recording. Experienced in providing accurate and timely email and business correspondence, including responding to inquiries. Strong interpersonal skills, excellent written and oral communication abilities, able to confidently interface with people; develop and maintain positive working relationships with all levels of the organization, vendors, staff and customers. Strong project, time and organizational management. Proven problem-solving ability and work independently with integrity and a positive attitude and strong sense of professionalism and ethical integrity in regard to confidential information. Effectively prioritize and execute tasks in a quick moving environment.
Working knowledge of California and Federal Payroll law and its implications to employees. Proficiency in the MS Office suite of programs, particularly in the use of MS Excel (VLOOKUPS and pivot tables). Strong analytical skills to perform payroll. Ability to quickly learn and utilize financial systems and tools such as Deltek Costpoint and Unanet. Working knowledge of Ultipro is a definite plus. Good understanding of temp agencies and how they work. Understanding how to apply internal control considerations as it relates to Federal Acquisition Regulations (FAR) and Cost Accounting Standards (CAS) is a definite plus.
